# Set up Rekkeh for your facility from onboarding to go-live

> Complete facility setup in Rekkeh: create your organization, add gates, onboard staff and residents, configure safety policies, and start operating.

This guide walks you from creating your facility to operating it: create the facility, configure access, add security staff and residents, set up emergency handling, and start running. You need the **estate manager** role to complete every step.

  <Step title="Create your facility">
    Your facility is created during account onboarding, before you open the admin dashboard.

    1. Complete the three onboarding steps at **/onboard**: **Your account**, then **Your facility**, then **Review and start**.
    2. Enter your facility's details: community or facility name, country, city, street address, facility type, and your role.
    3. Confirm your email and open the dashboard.

  <Step title="Set your facility's organization and modules">
    Before adding people and gates, set how your facility is described and which features are available.

    1. Open **Settings** and choose **General & terminology** to set your organization type and segment. The segment sets the vocabulary your facility uses (for example, residents and units in a residential facility) and resets feature modules to that segment's defaults.
    2. Choose **Feature modules** to enable the modules you need, such as **Vehicles** (registered vehicles, gate plate lookup, and scan-plate in Gate Ops) or **Safety**. Only enabled modules appear in the rest of the admin portal.

  <Step title="Add your gates and access points">
    Gates are the access points where visitors and members enter. Create them before you set up kiosk devices.

    1. Open **Gates** and click **Add Gate**.
    2. Enter a **Name** and choose a **Type**: **Standard**, **Service**, or **Pedestrian**.
    3. Save the gate. It appears in the gates table with its online status and kiosk state.
    4. Set a gate online or offline with its row actions, and open **Kiosk** to enable kiosk mode and pair a device.

  <Step title="Onboard security staff">
    Security personnel sign in to the Gate Ops mobile app. Onboard them from the **Operators** page.

    1. Open **Operators** and click **Onboard Guard**.
    2. Enter the guard's **Full Name**, **Email**, and **Phone**.
    3. Choose a **Role**: **Guard** or **Security Officer**.
    4. Set a custom password, or use the default temporary password that is shown after onboarding. With the default, the guard signs in on Gate Ops directly. No invitation link is required.

    After onboarding you can activate, suspend, edit contact details, or view the invite from the operator's row actions.

  <Step title="Add residents and units">
    Add the spaces in your facility, then add the people who live or work in them.

    1. Open **Units** and click **Add Unit**. Set the **Label**, **Type** (**Residential unit**, **Commercial tenant**, or **Common area**), and **Status**.
    2. Open **Residents** and click **Invite Member** or **Import CSV** to add people, or share a join code so members onboard themselves.

  <Step title="Configure access and safety policies">
    Set the rules that control who can enter and how access is enforced, all in one place.

    1. Open **Settings** and choose **Safety & emergency**.
    2. Set your security and escalation policy, visitor rules, notifications and compliance, commercial access, and contractor access authorization.

  <Step title="Configure emergency contacts">
    Emergency contacts receive alerts and appear to residents during an incident. Configure them in the same safety page.

    1. In **Safety & emergency**, open the **Emergency Contacts** section.
    2. Click **Add emergency contact** and enter the **Name** and **Phone** (in E.164 format).
    3. Set the **Display order**, choose the **Alert types** the contact receives (Security, Fire, Medical, Police, Management), and keep the contact **Active** so it is visible to residents and used for alert routing.

  <Step title="Set up administrators and roles">
    Control who can manage the facility and what each administrator can do.

    1. Open **Administrators** and invite the people who manage the facility.
    2. Open the **Roles** tab to create or edit roles and set module permissions across **View**, **Create**, **Edit**, **Delete**, **Export**, and **Manage Settings**.
    3. Give each role at least one module with **View** access. Administrators need it before they can use the admin portal. Edit requires View, and the other actions follow the same pattern.

    Only the **estate manager** and **super admin** roles can manage administrators and roles.

  <Step title="Start operating">
    Once everything is configured, monitor activity and verify the setup is working.

    1. Open the **Access Log** to review facility access events, filtering by grant type, action, result, person, host, or operator.
    2. Open the **Audit Log** to see administrative changes, such as incidents, invites, access events, users, and watchlist updates.
    3. Use the dashboard for live access, occupancy, security signals, and a needs-attention panel.
