You record a visitor’s entry or exit in the Gate Ops app by verifying their pass first, then selecting the action on the verification sheet. This page covers how to grant entry, record exits, deny access, and undo a mistaken recording.
Select a gate before logging any access. Without a selected gate the app shows “Select a gate” or “Choose your gate before logging access” and returns you to gate selection.

Verify the pass

Scan or verify the visitor’s pass. The verification sheet opens.

Tap Allow Entry

On the verification sheet, tap Allow Entry. If it shows a CONFIRM badge, the app prompts “Allow in?” with “They’ll be checked in at the gate to see . This is logged to the visitor history.”

Confirm and check in

Tap Confirm & check in to record the entry.
After the entry is recorded:
  • Online: The decision screen confirms the entry.
  • Offline: The screen shows ENTRY QUEUED with the message “Saved locally — will sync when online”.
When legal documents are pending, the action is disabled and labeled Docs Required with the message “Sign legal documents to unlock entry approval”. Have the visitor complete their documents before entry.
If the field Officer note (required) is shown, enter a note before you can proceed. If you skip it, the app returns “Note required” or “Enter an officer note for this visitor”.
When open security flags exist, the approval label becomes Review flag to approve. Acknowledge all open flags first. After acknowledgement the app shows “Flag acknowledged” or “You may proceed with the gate decision”.

Verify the pass

Scan the visitor’s pass to open the verification sheet.

Tap Record Exit

Tap Record Exit (or Check Out).

Confirm exit

Confirm when the app asks “Record exit?” with the message “Confirm this person is leaving and should be checked out.”
After the exit is recorded:
  • Online: The app shows either EXIT RECORDED for auto-confirmed exits or “Checked out” / ” checked out”.
  • Offline: The screen shows “Checkout queued” with the message ” saved locally — will sync when online”.
Overstay does not block exit. The sheet warns “Visitor is min past expected checkout” and notes that exit is allowed. Record the departure and note any issues before the visitor leaves.

Deny entry or exit

Tap Deny Entry or Deny Exit

On the verification sheet, tap Deny Entry or Deny Exit.

Confirm denial

Confirm when the app asks “Deny entry?” or “Deny exit?” with the message “This person will be refused at the gate. Confirm only if you intend to deny access.”
If the pass already has a prior decision, the app asks you to switch instead:
  • Entry already granted: The app asks “Deny entry instead?”
  • Entry already denied: The app asks “Grant entry instead?”
Denial outcomes:
  • Online: Shows “Visitor was not admitted” (or the verification deny reason).
  • Offline: Shows DENY QUEUED with the message “Decision saved locally — will sync when online”.
All denials are logged with result “denied” and the direction in or out.

Undo a mistaken recording

You can reverse an automatic online check-in or check-out within 8 seconds.

Tap Undo during the countdown

On the decision screen, tap Undo (the button shows a countdown, for example “Undo · 8s”) while the countdown is running.
Undo is only available for auto-confirmed, online check-ins and check-outs. On success, the app shows “Entry undone” or “Exit undone” with ” was not recorded”.
If undo fails, the app shows “Could not undo” with “The undo window has closed. Ask a supervisor if this still needs reversing.” You cannot undo after the 8-second window closes.

Scan and verify visitor passes before logging entry or exit.

Handle an invalid pass

Respond when a pass is expired, denied, or blacklisted.
