When someone arrives at your gate without a pre-registered pass, Gate Ops gives you three ways to handle the visit: direct the visitor to the kiosk, review and admit a kiosk registration, or issue a manual walk-in pass yourself.
Some steps require the Kiosk or Deliveries module to be enabled for your facility. If a module is unavailable, contact your estate administrator.

Option 1: Direct the visitor to the kiosk

If kiosk mode is enabled at your gate, the visitor can register on the tablet or by scanning the rotating QR on the kiosk screen.

Start registration

The visitor taps Check in on the tablet, or scans the QR for a touchless flow.

Enter full name

Enter a full name. The field is required and submission is blocked with “Please enter your full name” if it is left empty.

Select visit type

The visitor picks from the enabled visit types. If none are available, the kiosk shows “No visit types are available on this kiosk. Ask a gate operator for help.”

Fill in details

The visitor provides the information required by the visit type: email is optional, phone and purpose are required, and a host, recipient, or destination is chosen. Walk-in visits always require a destination.

Take a photo

A photo is required or skippable depending on the visit type. The visitor can take a photo and choose Use this photo or Retake photo, or tap Skip for now if it is not required.

Sign agreements

The visitor reviews and signs any required documents, then selects Sign and continue.
During submission, the kiosk shows “Creating your pass…” If host approval is required, it shows “Notifying your host…” The possible outcomes are:
  • Waiting for approval / Pending host approval: the visitor waits for the host to approve or reject.
  • Pass ready: a pass is issued and the screen shows “Show this screen to security at the gate.” The visitor can tap Print badge or Done.
  • Rejected / Expired: the visitor is not admitted.
If kiosk mode is disabled, the screen shows “This gate kiosk is not available right now.”
If the estate policy blocks walk-ins, the screen shows “Walk-in registration is blocked by estate policy.”

Option 2: Review and admit kiosk visitors

Kiosk registrations that need a decision appear in the Kiosk visitors queue in Gate Ops. The list refreshes every 10 seconds. The queue has three tabs:
  • Awaiting: visitors whose host has already approved and who are waiting to be verified at the gate. Each card shows Scan to admit (opens the scanner) and Contact (calls the host).
  • Waiting: registrations waiting for the host to approve or reject. Cards show Approve and Reject only when the request belongs to you as the host. For other hosts, the card shows “Waiting on host approval — cannot admit yet.”
    • Approving a request shows “Visitor approved — scan their pass to allow entry.”
    • Rejecting a request shows a confirmation. Select Reject (or Keep waiting) and the app confirms “Visitor rejected.”
  • Rejected: kiosk registrations the host has rejected.

Option 3: Issue a manual walk-in pass

Use this option when there is no kiosk, the visitor cannot register, or they are visiting a commercial shop. You must have a gate selected first (without one, the app shows “Select gate first”). Open Manual Pass (T4) from your profile. The screen reads “Issue a walk-in pass.”

Select a destination

Choose the shop the visitor is visiting (Select shop…). This is required.

Enter guest details

Enter the Guest name and, optionally, a Guest phone. If a phone is supplied, it must be a valid mobile number.

Enter the reason

Enter a Reason for the walk-in. This is required and must be at least 10 characters.

Review the mode badge

The badge shows Commercial walk-in when a destination is chosen, or T4 · Manual override when a destination is not selected.
Select Issue commercial walk-in or Issue manual pass (T4):
  • Commercial: the app shows “Commercial pass issued” or “Open walk-in commercial visit created.”
  • T4: the app shows “Manual pass issued” or “T4 one-shot pass created and logged for Admin review.”
